Managing Your Donor List

Search, segment, tag, and never lose a donor relationship again.

How donors are added

Anyone who completes a donation is automatically added as a Donor record with their name, email, address, total lifetime giving, and last donation date. Anonymous donations still create a Donor record (the privacy flag only hides them from the public donor wall).

The Activity log shows every donor interaction — donations, compliance updates, campaign edits, team changes — in a single chronological feed. Filter by type (Donations, Compliance, Campaigns) when you only want the donor-related rows.

Searching and filtering

From Donors → use the search bar for name or email. Click Filters to add structured filters:

  • Total giving range (e.g. $500–$5,000)
  • Last gift within last N days
  • Specific campaign(s)
  • Has matching-gift employer
  • Has email opt-out

Tags vs. notes

Tags are short labels (e.g. 'Board Connection', 'Major Donor', 'Lapsed') used for filtering and segmentation. Notes are free-form text attached to a donor for context that doesn't fit a tag (e.g. 'Met at gala 4/2025, asked about planned giving').

Bulk actions

Select multiple donors with the row checkboxes, then use the Actions dropdown to:

  • Add or remove tags
  • Export to CSV
  • Send a one-time email (Pro plan)
